Controlling Access to Multiple Vaults

You may have setup several vaults to separate data. For example you may have vaults for separate departments or for production data and archive data.
Users will need different privileges for the vaults. For example, people may need full access to the Production Vault but Read Only access to the Archive Vault.
This tip explains how to setup the security.

How To

For this tip we will use the example of a Production vault and an Archive vault. Users are allowed Editor access to the Production vault and Document Consumer (read only) access to the Archive vault.

  • Log onto Vault as an administrator.

  • Go to Tools > Administration and click on the Security tab.
  • Click on Groups

  • Click New Group

  • Enter a group name, for example “Production – Full Access”
  • Click Roles and select the appropriate roles, for this example tick Document Editor(Level 2) and Content Center Editor.
  • Click Vaults, select the appropriate vaults, for this example Production and click OK.
  • Under the Group Members click Add... and select the appropriate users for this group.
  • Click OK to close the Add Members window.
  • Ensure Enable Group is enabled.

  • Click OK to close the Group window.
  • Repeat these steps to create another group. For this example it is called “Archive – Read Only” and the role is Document Consumer.
  • Add the appropriate users to this group.

  • Click OK to close the Group window.
  • Setup any other groups as needed.
  • Check the groups are correct and close the Group Management window.

  • From the Administration window, security tab click Users to open the User Management window.


For each user, except Administrator and Guest:
  • Double click their name to open the user profile window. Remove all roles and vaults. Check they are members or the appropriate groups as setup in the previous steps.

  • Click OK to close the user profile window.
  • Close the user management and administration windows.
  • Log out of vault as administrator and log in as your own user profile.

Ask users to log into Vault Explorer and check they have the appropriate access. For example, Dave Designer can add, modify and delete files in the production vault but has only read access to the archive vault.
